Administrative Duties
Perform general administrative tasks, including answering phones, responding to emails, and managing correspondence.
Maintain filing systems, both electronic and paper-based, ensuring all documents are up to date and accessible.
Scheduling and Coordination
Manage calendars and schedule appointments for team members and clients.
Coordinate meeting room bookings and ensure facilities are prepared for meetings, including catering when necessary.
Client Communication
Handle inquiries from clients, providing information about services and directing them to the appropriate departments.
Follow up with clients as needed and maintain positive relationships.
Office Supply Management
Monitor and maintain office supplies inventory, placing orders as needed to ensure the uninterrupted operation of the center.
Support for Team
Provide support and assistance to other team members as needed, fostering a collaborative office environment.
Requirements
- Proven experience in a receptionist or administrative role.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in MS Office and office management software.
- Ability to multitask and manage time effectively.
- Professional demeanor with a friendly attitude.
- Ability to work independently as well as part of a team.
- High school diploma; additional qualifications in Office Administration or related field preferred.
